Devising and maintaining office systems, including data management and filing.
Arranging travel, visas and accommodation.
Screening phone calls, inquiries and requests, and handling them when appropriate;
meeting and greeting visitors at all levels of seniority.
Organizing and maintaining diaries and making appointments;
Dealing with incoming email and post, often corresponding on behalf of the manager.
Taking dictation and minutes.
Carrying out background research and presenting findings.
Producing doents, briefing papers, reports and presentations.
Organizing and attending meetings and ensuring the manager is well prepared for meetings.
Liaising with clients, suppliers and other staff.
Carrying out specific projects and research.
Responsibility for accounts and budgets.
Taking on some of the manager's responsibilities and working more closely with management.
Deputizing for the manager, making decisions and delegating work to others in the manager's absence;
Being involved in decision-making processes
Education: A high school diploma or equivalent is the minimum requirement. While not always necessary, degrees in business, administration, or related fields can be beneficial.
Experience: Generally, 2+ years of experience in administrative, clerical, or construction site coordination roles is preferred.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Suite is crucial. Experience with CRM software or booking systems is a plus.
Organization & Time Management: Ability to manage complex calendars, prioritize tasks, and meet deadlines.
Communication: Strong verbal and written communication skills for liaising with stakeholders.
Discretion & Confidentiality: Ability to handle sensitive information with tact.
Adaptability & Problem-Solving: Capacity to handle changing demands and work under pressure
