Job Description

Roles & Responsibilities

Procurement Operations & Process Management
•Process vessel material, shore, and service requisitions in alignment with company procurement policies and operational standards.
•Coordinate with Technical, Fleet Operations, ITC, and QSHE teams to validate requisition details and requirements.
•Ensure all purchases are routed through company-approved suppliers to maintain quality and compliance.
•Conduct thorough verification of service requisitions, ensuring all supporting doentation is accurate and complete.
•Adhere to doented procurement workflows, maintaining proper records for transparency and audit readiness.



Supplier Management & Quality Assurance
•Liaise with approved suppliers and service providers to ensure timely and accurate delivery of requested goo.
•Carry out port-based inspection of critical items using the standard Inspection Checklist to verify quality and completeness.
•Monitor supplier performance in terms of delivery lead time, pricing, quality, and service responsiveness.
•Identify and escalate any supplier non-conformities or issues to the Purchase Manager for further action.
•Support continuous improvement initiatives by providing feedback on supplier performance and reliability.
Coordination & Communication
•Provide timely updates to vessels and relevant managers on the status of pending orders and expected delivery schedules.
•Ensure vessels are notified at least 24 hours in advance regarding planned deliveries at ports.
•Maintain close communication with Technical Managers, Executives, and other departments to manage urgent and routine procurement needs effectively.
•Escalate supply delays, operational conflicts, or missing doentation to appropriate stakeholders for resolution.
•Facilitate smooth coordination across departments to avoid delays and ensure operational continuity.
Compliance, Doentation & Reporting
•Ensure all procurement activities comply with internal control procedures, company policies, and external regulatory requirements.
•Maintain accurate, up-to-date doentation for all purchase orders, delivery notes, inspection checklists, and vendor communications.
•Update the order status tracker and generate weekly reports on pending suppli for vessels and departmental managers.
•Conduct due diligence in every transaction to uphold quality, budget, and legal compliance standards.
•Assist with internal and external audits by providing required purchase-related records and doentation.
Budget & Inventory Control Support
•Support budget adherence by aligning purchases with pre-approved budgets and cost control measures.
•Collaborate with Technical Managers and Executives to monitor inventory levels and avoid overstocking or shortages.
•Ensure that purchasing decisions are cost-effective and operationally justified.
•Monitor price trends and market conditions to support procurement efficiency and identify savings opportunities.
•Alert the Purchase Manager to potential budget overruns, critical shortages, or cost inefficiencies.




Qualifications & Experience
Education:•Bachelor’s degree in supply chain management, Logistics, Business Administration, Marine Engineering, or a related field.
•Additional certifications in procurement (e.g., CIPS, CSCP, or
•equivalent) will be an added advantage.
Experience:•Minimum 4–5 years of hands-on experience in purchasing and logistics functions, preferably within technically driven or asset-intensive industries.
•At least 2–3 years of dedicated experience as a Purchaser within the maritime industry, ship management, or offshore sector, handling vessel-related procurement and port-based deliveries.
Technical Skills and Professional KnowledgeMaritime Procurement Expertise
•Good understanding of shipboard needs, including spares, consumables, and safety equipment.
•Hands-on experience in purchasing items as per PMS and technical requirements.
•Familiar with flag, class, and SOLAS regulations related to procurement.
•Experienced in port logistics, delivery coordination, and customs-related doentation.
•Able to support budget control and maintain inventory alignment.
Systems & Process Proficiency
•Proficient in ERP and fleet systems like CMMS or PMS for managing procurement tasks.
•Skilled in handling procurement workflows and doentation as per company policies.
•Tracks order status and delivery updates accurately and on time.
•Coordinates well with technical, operations, and other support departments.
Supplier & Compliance Management
•Manages supplier relationships and ensures timely, quality deliveries.
•Monitors vendor performance and ensures compliance with approved supplier lists.
•Follows procurement controls and ethical sourcing practices. Identifies and escalates risks or delays in the supply process when needed.

Roles & Responsibilities

1. HOD Overall Roles & Responsibilities
Role
•Serve as the overall leader of the Marine Insurance & Claims (MI&C) Department.
•Act as the authorized point of contact and escalation for all Marine Insurance and Claims related matters within the company and with external entities as per the reporting standards mentioned in the departmental manual (COP)
•Represent EMARAT Maritime LLC as the Group Principal in all marine insurance and claims policies and functions.
Responsibilities
•Ensure comprehensive implementation of all marine insurance procedures across the company.
•Maintain oversight of Marine insurance policy coverage, placements, certificates, claims, renewals, and doentation.
•Approve high-value decisions in consultation with , including settlements and policy endorsements.
•Uphold compliance with Marine insurance policy terms and international regulations.

2. Risk Assessment & Policy Management
Role
•Lead all insurance policy planning and risk mitigation initiatives.
•Act as the strategic decision-maker for placement and renewal of all marine insurance lines.
Responsibilities
•Review and approve insurance renewals, endorsements, and premium structures.
•Assess risks related to voyages (e.g., war zones, piracy areas) and advise on War Ri coverage.
•Validate statutory and financial coverage for port entries as per departmental manual.
•Monitor policy expiration timelines and initiate renewals with brokers as needed.

3. Claims Management & Settlement
Role
•Oversee the complete life cycle of insurance claims, ensuring timely resolution and compliance with insurer protocols as per the departmental manual.
•Manage complex or high value claim as per the approvals structures in the manual / ERP.
Responsibilities
•Review all incoming claims (P&I, H&M, FD&D, LOH) and ensure accurate registration in CIMS.
•Liaise with P&I Clubs, Brokers, insurers, for negotiations, and settlements.
•Approve high value settlements, RRAs, and recoveries in coordination with C.
•Ensure claim files are closed with complete doentation and reimbursement.

4. Team Performance Management
Role
•Act as direct supervisor and mentor for MI&C team members.
•Ensure optimal departmental structure, delegation, and staff performance.
Responsibilities
•Assign duties to IOs, SCEs, and IEs based on claim or policy complexity.
•Conduct regular reviews of claim closures, ERP entries, and broker interactions.
•Oversee internal claims summary updates and compliance with Departmental manual.
•Identify areas for performance improvement and implement corrective measures.

Role

6. Regulatory Compliance & Audit Coordination
Role
•Ensure the MI&C Department meets all internal and external compliance and audit requirements.
Responsibilities
•Verify that vessels maintain valid certificates required for port entry as per the ERP system
•Facilitate internal audits and external insurer audits, ensuring timely data submission.
•Monitor compliance with international regulations (e.g., OPA 90, Canada Shipping Act, MLC).
•Lead the closure of audit observations and preventive action implementation.

7. Vendor, Broker & Stakeholder Management
Role
•Act as the primary contact for all marine insurance brokers, clubs, surveyors, and legal.
Responsibilities
•Appoint and evaluate performance of brokers and claims handlers.
•Manage service-level expectations with P&I Clubs, H&M insurers, FD&D underwriters, and LOH adjusters.
•Coordinate with legal teams for complex disputes or FD&D matters.
•Ensure timely communication between internal stakeholders and external vendors.

Role
•Provide leadership-level reporting and strategic direction based on risk and claim trends.
Responsibilities
•Prepare risk reports and insurance summaries for and board-level review.

•Track premium movements and cost-saving opportunities in coordination with brokers.
•Develop long-term strategies to optimize coverage and reduce exposure.

10. Emergency & Crisis Response Collaboration
Role
•Represent the Group Principal in insurance policies i.e. EMARAT Maritime LLC
•Responsibilities
•Ensure unified policy placement and claims management of the team.
•Act as the point of contact for brokers and insurers and legal representatives
•Coordinate consolidated risk positions.
•Engage with Emergency Contact Points as below:
•Internal Stakeholders: Senior Management and all departments of Emarat Maritime.
•External Stakeholders: Marine Brokers, P&I Clubs (insurers)P&I Correspondents, Retainer lawyers, FD&D club solicitors, Sanction specialist lawyers, Marine loss adjusters, Marine Surveyors. Hull and Machinery leaders, Loss of Hire insurers


Qualifications & Experience
