Key Responsibilities
Client and Visitor Management
Greet all clients and visitors in a friendly and professional manner.
Manage the front desk, ensuring a clean and organized reception area.
Direct clients to the appropriate agents or departments.
Manage incoming and outgoing mail and packages.
Communication
Answer, screen, and forward all incoming phone calls in a timely and professional manner.
Take accurate messages and ensure they are delivered promptly to the intended recipient.
Respond to general inquiries via phone and email.
Maintain and update contact lists for clients, agents, and service providers.
Administrative Support
Schedule and confirm appointments, showings, and meetings for agents.
Assist with the preparation and distribution of marketing materials, flyers, and property brochures.
Organize and maintain both physical and digital filing systems.
Perform data entry to update client and property information in the company database.
Manage office supplies and place orders when needed.
Support for Real Estate Agents
Assist agents with preparing and organizing listing and closing paperwork.
Facilitate the smooth flow of information between agents, clients, and other parties.
Provide general administrative support to the entire real estate team as required.
Office Operations
Maintain the overall tidiness of the reception area, conference rooms, and common spaces.
Assist with setting up and preparing for company meetings or events.
Operate office equipment, including printers, copiers, and fax machines.
Enforce security procedures by monitoring the visitor log and issuing visitor badges.
