Job Description

The Receptionist serves as the first point of contact for children, parents, and caregivers at our therapy center. This role requires excellent communication skills, a warm and welcoming demeanor, and the ability to manage front-desk operations efficiently in a child-focused environment. The receptionist plays a critical role in ensuring a smooth, supportive, and positive experience for families and staff.

Key Responsibilities:•Front Desk Operations•Greet clients and visitors warmly upon arrival•Check in and check out clients for appointments•Maintain a tidy and welcoming reception area•Administrative Duties•Answer phone calls and respond to emails in a professional and timely manner•Schedule, confirm, and reschedule therapy appointments•Manage therapist calendars and availability•Maintain accurate and up-to-date client records in practice management software•Process intake paperwork and ensure doentation is complete•Client & Family Support•Provide information about services, policies, and procedures•Assist parents with questions about insurance, billing, or appointments•Offer emotional support with empathy and professionalism•Billing & Payments•Collect co-pays and process payments•Assist with insurance verification or prior authorizations (optional based on center needs)•Team Collaboration•Coordinate with therapists, administrative staff, and management•Participate in staff meetings and trainings•Communicate client concerns or schedule changes as needed
