**Job Summary**
The Service Coordinator / Service Administrator is responsible for managing and coordinating day-to-day service operations, ensuring smooth workflow between customers, technicians, and management. The role involves appointment scheduling, job card management, service doentation, invoicing support, and delivering excellent customer service in an automotive workshop environment.
**Key Responsibilities**
1. Customer Service & Front Desk Coordination
* Greet customers and understand vehicle service requirements.
* Schedule service appointments and manage service calendars.
* Provide accurate service updates to customers.
* Handle customer queries, complaints, and follow-ups professionally.
* Ensure high levels of customer satisfaction.
2. Service Administration
* Prepare and maintain job car orders.
* Coordinate between technicians and service advisors.
* Monitor service progress and ensure timely vehicle delivery.
* Maintain proper service doentation and records.
* Process invoices, warranty claims, and service reports.
* Maintain database of customers and vehicles.
3. Departmental Coordination
* Allocate jobs to technicians in coordination with the Service Manager.
* Track vehicle movement within the workshop.
* Ensure parts availability coordination with spare parts department.
* Monitor turnaround time (TAT).
4. Reporting & Compliance
* Prepare daily, weekly, and monthly service reports.
* Maintain warranty and insurance claim doentation.
* Ensure compliance with company policies and OEM standards.
* Maintain service history records.
* Strong communication and interpersonal skills.
* Customer-focused approach.
* Good organizational and multitasking skills.
* Ability to work under pressure.
* Basic technical understanding of vehicles.
* Problem-solving and coordination skills.
* Attention to detail.
* Bachelor’s degree / Diploma in Business Administration, Automotive Technology, or related field.
* 2–5 years of experience in automotive service operations.
* Experience in dealership or automotive workshop preferred.
* Knowledge of automotive service processes.
* Proficiency in MS Office (Excel, Word).
* Experience with ERP Software.
